It is important to know that specific user levels have certain user rights. It is therefore crucial to select the correct user level to suit the role and position of the user and ensure that the user does not have access to privileges outside of his/her role.
- On the System Manager page, dropdown on User and select User Account.
The User Account screen will populate.
- Dropdown on (Find All) and select Name to search for the user, before creating a new profile.
- Enter the surname and Search to confirm that the user is not on the system. (if there are multiple users with the same surname, use the first name or an initial to narrow down the search)
- Once you have determined that there isn’t an existing profile, a new profile can be created by clicking on the New button.
- The User ID should be in lowercase. (By default we use the first three letters of the surname and the first and last letter of the first name).
- Enter the User ID according to the rules above.
- Click on Check Duplicate to validate whether the user ID is not already in use.
- Continue by adding the user’s Surname, Name, and Title.
- The password complexity would include at least one letter in CAPS, a special character as well as a number. The user will be prompted to change this password upon first login.
- The user Level is dependent on the role and responsibility of the user. (Refer to the first sentence of this document for the user level rules)
- Complete the rest of the required information:
- The Status – by default is Normal which is an active user, the alternative would be Locked. This would apply to users who should no longer utilize the system. Revoked access.
- Institution – The Institution can be selected from the dropdown.
- Practice – If there is only one practice, this can be selected from the dropdown, but if a user needs access to multiple practice details, multiple practices can be selected.
- Department – The department can be selected from the dropdown.
- Practice numbers should be captured as a mandatory field for Radiologists, referral physicians, and clinicians.
- HPCSA numbers are only important for all Radiologists' profiles.
- The Specialty can be selected from the dropdown list.
- A valid email address needs to be captured, for report distribution.
- Enter a cellphone number, if one has been provided.
Note: Home Address and contact details are not important, however, the work address and contact information can be used to assist with the selection of the correct Dr, if in the event there is more than one physician with the same surname.
- Click Add, once all required information has been completed.
